Reviews & Reputation Management

More real reviews, answered the right way

Reviews often decide whether someone calls you or the practice next to you on the map. We help you ask every patient, client and customer without breaking Google's rules or the FTC's.

How Reviews & Reputation Management brings in business

Most satisfied patients and clients never leave a review because nobody asked at the right moment. We fix that with a simple system: a text or email sent soon after the visit, closing or case milestone, with a direct link to your Google review form. Everyone gets the same request. We don't screen out unhappy people first, and we never offer discounts or gifts in exchange for a review.

That matters more than it used to. Google prohibits review gating and incentivized reviews, and the FTC rule on fake reviews, in effect since October 2024, lets the agency seek civil penalties for fake reviews, rewards tied to positive sentiment and certain kinds of review suppression. We also write your response playbook, so a reply to an angry review never confirms that the person is your patient or client. In healthcare, a public reply that does that can violate HIPAA, and federal regulators have penalized practices for exactly that.

What you get

What's included

Review request system

Automated text and email requests after appointments, closings or completed jobs, sent to every customer with a short link to your review page.

Response playbook

Approved reply templates for positive, neutral and negative reviews, warm in tone and written so they never confirm a patient or client relationship or reveal details.

Review monitoring

Alerts for new reviews on Google, Facebook, Yelp, Healthgrades, Avvo and the other sites that matter in your field, so nothing sits unanswered.

Response management

We draft or post replies for you within the playbook, and send anything sensitive to you for approval before it goes out.

Flagging policy violations

When a review is spam, off-topic or written by someone with a conflict of interest, we report it through Google's process and keep a record. Google makes the final call.

Staff training and reporting

A short session for your front desk or intake team on when and how to ask, plus monthly reports on review volume, rating and response time.

How it works

Our process

  1. 01

    Audit

We review your ratings, recent reviews and reply history across platforms, and see how you compare with nearby competitors.

  2. 02

    Set up requests

We connect your scheduling, practice management or CRM system, write the request messages, and test the whole flow.

  3. 03

    Respond and monitor

New reviews trigger alerts. Replies follow the playbook, and sensitive ones go to you first.

  4. 04

    Report and refine

Monthly reports cover new reviews, average rating and response times, and we adjust timing or wording when requests are not getting responses.

What we work toward

Outcomes you can see

  • A steady flow of fresh reviews

Recent reviews show people your practice or business is doing good work now, and not only years ago.

  • Support for local rankings

Google says review count and score factor into local ranking, so this work strengthens your Google Maps presence.

  • Lower compliance risk

No gating, no incentives, no fake reviews, and replies written to protect patient and client confidentiality.

  • Feedback you can act on

Patterns in reviews point to fixable problems, like long hold times or billing confusion, that quietly cost you patients and clients.
